RULES AND REGULATIONS PERTAINING TO ALL GROUPS
USING DISTRICT 50 FACILITIES
Adams County School District 50 is committed to making school facilities available to the public for outside use. The District recognizes that all facilities and properties have been purchased by taxpayers and are valued assets of our community. While school and community youth events take precedence over other uses, positive group use of District 50 facilities is encouraged.
APPLICATION PROCESS
All external organizations requesting use of Adams County School District 50’s facilities should check facility availability and submit Facility Use Applications through the District’s Community Use website. Please click on the “Community Use Website” link to access the portal.
To check facility availability: Once at the Community Use website, select the District facility you’re interested in using from the “View All Locations” drop down box, then click on “Filter”. You can view facility availability on a monthly, weekly or daily calendar. You do not need to be logged in or have an account to view facility availability.
To submit a Facility Use Application: Please follow the instructions included in the document provided here: How to Login and Submit a Request. You must register to become a user of the District’s Community Use website before you’re able to submit a Facility Use Application.
After submitting an application via the Community Use website, please allow up to one week to process your request. When submitting an application you must also submit a current certificate of liability insurance and, if applicable, proof of non-profit status. Please e-mail those documents to the Facility Use Office separately. Completed applications and supporting documentation must be received a minimum of ten (10) days prior to the first date of intended usage. Please note that completion of an application does not guarantee facility usage.
FACILITY USE CONTRACT AND PAYMENT
Upon approval of a Facility Use Application, the applicant will be issued a Facility Use Contract and Invoice. Full payment of fees must be made seven (7) days prior to the first event date. District 50 currently accepts payments made by cash, check or credit card (Visa, Master Card and Discover are accepted). A $5.00 convenience fee will be assessed when using a credit card. To make an online payment, click on the “Make a Payment” button. You will need to know your contract and invoice number to submit an online payment.
Per Superintendent Policy, Facility Use Contracts will not be issued more than three (3) months in advance of date of use. Requests submitted more than three months in advance of date of use will be declined. An event is not considered finalized until the Facility Use Contract has been signed by the applicant and a District 50 representative and has been received by Adams County School District 50. We recommend not advertising your event until a Facility Use Contract has been finalized.
CHANGES AND/OR CANCELLATIONS
Changes and/or cancellations to a contract must be made at least 72 hours prior to use, in writing, to the Facility Use Office. All changes are subject to change fees as outlined in the current Rate and Fee Schedule. The Facility Use Office reserves the right to assign, and if necessary, reassign facilities. The Facility Use Office also reserves the right to terminate and/or deny use of any District facilities.

IMPORTANT INSURANCE NOTICE
All groups must submit a current certificate of liability insurance at the same time an Application for Facility Use is submitted. District 50’s property and general liability insurance policies do not provide coverage to external organizations using school facilities. Adams County School District 50 must be listed as Additionally Insured on the certificate, and District 50 requires all groups to carry a minimum of $1,000,000 in commercial general liability insurance.
IMPORATANT NOTICE ABOUT HOLIDAYS, SCHOOL CANCELLATIONS AND DISTRICT CLOSURES
All Holidays recognized on the District’s official school calendar (located here) are considered District closure days and facility rentals will not be allowed on those days. Each year the District evaluates its calendar and if the decision is made to enact a District-wide closure between the Christmas Eve and New Year’s Day time frame, facility rentals will not be allowed during this period.
If at any time a District 50 building is closed due to a school cancellation or a District closure, all activities and events including facility rentals are canceled as well. Examples of such cancellations and/or closures include but are not limited to: inclement weather, hazardous conditions and crisis and/or emergency related events.
Weather related school cancellations and/or closure information is available on the District’s website at www.adams50.org and on local television and radio broadcasts.
